Application Processing / Passport Delivery for e-applications

The VAC fees have been updated effective today. Mail-in applications which arrive to the VAC after November 9th, 2014 with the previous fees will not be accepted. The applicant will need to pay the additional cost or the application will be returned.


Passport delivery / e-Application Service:

If you applied online with an e-App, or if you received a request from CIC to submit your passport to the Visa Office, you can use the VAC to securely send your passport.

Step 1: Bring your passport to the VAC and pay the appropriate fee(s). Please include the letter from CIC requesting your passport, the VAC Consent Form, and your contact information. You may either bring your passport in-person to the VAC or send it by courier.

Step 2: Decide how you want your passport returned to you. You can choose to retrieve your passport in person or have your passport delivered to you at home. If you choose to have it delivered, you must include a pre-paid Air Waybill when you submit your passport to the VAC.

The VAC will send your passport to the Visa Office and provide you with a tracking number so you can track where your passport is. The fee for the Passport delivery / e-Application service is $35.59.


Biometric Collection

As of September 4, 2013, you may need to give your biometrics (fingerprints and photograph) when applying for a visitor visa, study permit or work permit. Find out if you need to give your biometrics.

If you need to give your biometrics with your Temporary Resident Visa, Work Permit, or Study Permit application, you have to come in person to the VAC. DO NOT submit your application by mail. The VAC will collect your biometrics at the same time you submit your application.

There are two ways to submit an application for a Temporary Resident Visa, Work Permit, Study Permit, or Travel Document for Permanent Residents. You may either submit all the required documentation:

  • in person at the VAC
  • by mail to the VAC using a courier

All applicants submitting an application through the VAC must pay the corresponding fees.

ADDITIONAL SERVICES You can use the computers at the VAC to complete the application online (self-service) or you can have the VAC staff complete the application on line for you (full-service) by paying an additional fee. For more information you can visit Applicable Fees.

All applications must include:

  • Two Receipts: one receipt per applicant for the VAC service charge, or, if applicable, biometric fee*, and one receipt per applicant for the VISA application fee. Note: a family receipt for the visa application fee is permitted if applicable. For more information please read and follow step 2 below.
    * If you need to provide biometrics, your CAD 85 biometric fee covers the VAC service charge.
  • Completed and Signed Corresponding Forms for the appropriate type of travel: forms are available in step 3 below.
  • Signed VAC Consent Form: Two copies per applicant. (VAC Consent form is available in step 3 below.)
  • Completed and Signed Checklist and all the applicable documents listed on the appropriate checklist which are available in step 3 below.

There are two fees applicable to each application:

  • VAC Service charge OR, if applicable, Biometric fee*
    * If you need to give your biometrics, the CAD 85 biometric fee covers the VAC service charge. Additional services are not covered.
  • Visa Application Fee

NOTE: The fees are non-refundable and they correspond to the processing of the application only. They do not guarantee the issuance of a visa or permit.

Important notice: Payments made via internet will not be accepted.

VAC Service charge

All applicants submitting an application through the VAC must pay the corresponding fee for the service.

When you apply for a visa, you may also need to give your biometrics (fingerprints and photograph). Give your biometrics before the date this takes effect for your country and you will NOT need to PAY the VAC Service Charge (excludes additional services like photocopying). The fee for the VAC service is US $43.04.

The fees can be paid by bank draft, cashier’s cheque, certified cheque, or money order directed to CSC Consular Services Inc. Your payment (draft, check, etc.) must be sent to the following lockbox and you must send a copy of the payment along with your application to the VAC. NOTE: do not send your application or any supporting documents to the lockbox; only mail your payment.

The VAC fees can also be paid with Visa or MasterCard credit or debit card at the VAC.

This fee is required for each person submitting an application at the VAC, regardless of age or purpose of travel.

Family

This allows any family with more than four members to submit their application at the VAC at no additional cost for any additional member.  The definition of a family only includes parents and their children (under 22 years old) who are applying at the same time and living in the same household. Any other relative is excluded.

Group

The group rate is a discount of 10% from the VAC service charge per applicant in the same group application.  A group is defined as being at least five persons, not a family, travelling together to the same destination and for the same purpose.

Additional Service Fees

The payment of additional services from the VAC can be paid by bank draft.

The bank draft, cashier’s cheque, certified cheque, or money order directed to CSC Consular Services Inc. must be sent to the following lockbox and you must send a copy of the payment along with your application to the VAC.

Multiple Entry per person:

Please note that the decision to issue a Multiple Entry visa is at the discretion of the visa officer. Although in most cases multiple entry visas are issued when someone applies for this type of visa it may happen that, in view of the particular circumstances of the applicant, the visa officer will only authorize a single-entry visa. Therefore, paying the Multiple Entry fee does not guarantee the issuance of a Multiple Entry visa. Also note that the Consulate General of Canada cannot issue a visa beyond the validity of your passport. The Multiple Entry visa can be issued for a maximum of 10 years.

Family Rate:

A family is only required to pay up to the maximum Family Rate amount. If the sum of the individual fees for your family is less than the Family Rate, you may pay the fee individually. If the sum of the individual fees for your family is more, you are only required to pay up to the Family Rate. For purposes of calculating the Family Rate, family members only include parents and their children under 19 years of age when applying at the same time for the same visa type. Any other kind of relative is excluded.

Note: The rate can be used for multiple or single entry visas.

Work Permit Group Rate – Performing artists

The Work Permit Group Rate may be applied for groups of performing artists (3 or more), such as ballets, orchestras, theatre groups, only when all members apply at the same time.

Work Permit and Study Permit

When the principal applicant requests a study permit or a work permit he/she only needs to pay for the fees of the Study or the Work Permit.

Returning Students and Workers with Valid Permits

If you currently have a valid Work or Study Permit, and you wish to return to Canada to resume your work or studies, and you need a visa to re-enter Canada, then you must apply and pay the application fee for a Temporary Resident Visa application.

Once the Consulate General of Canada has completed the processing of your application, you can choose to have your decision letter and documents returned to you by post or courier. FedEx Courier fees are offered at preferred rates and can be paid at FedEx facilities directly or at the VAC (see details below).

You can also choose to collect your documents in person at the VAC.

In addition to the average processing time of your application, please consider the delivery time after your application has been processed at the Consulate General of Canada.

NOTE: For any application that is mailed in to the VAC, the applicant is responsible for including a prepaid return airway bill (AWB) in the application to ensure that the passport along with the decision is mailed back to their home address. If you do not include a prepaid return envelope, you can purchase your return airway bill through the VAC by following Steps A and B below.

For the return envelope (AWB) please provide a clear mailing address and phone number inside the United States of America where you want to receive your result package.
